Sandy Run Site Captain Duties
The number and schedule of required KofC
volunteers will be developed each week based on the estimated number of rowers
and attendees, duration of the regatta, and time of racing start. Note that
Site Captain times may vary from those shown below. Refer to the
Watch List for specific times for each Regatta.
There will
be two volunteers assigned as “site captain”; one (Site Captain A) will be
responsible for set up and starting, the other (Site Captain B) for closing down
the site, returning material and collecting the parking fee from the Regatta
Director.

Site
Captain A will work from about 6:15 AM to 11:15 AM. He should arrive 15 to 20
minutes ahead of any other parking volunteer. Specific duties at the
time will be:
1. Coordinate with the Park Rangers (James, Andy or Donna) to get
the Gator out of the shack and positioned between C and D Lots near the PortaJohn.
2. Sign for radios and brief everyone who is issued a radio of the need
to ensure it is returned.
3. At the end of your shift, coordinate with the PM Site Captain on a
mutually agreeable transfer of radio accountability. If the PM Site
Captain requires a physical inventory, then perform such inventory at shift
turnover. It is imperative that radio accountability be understood by all.
4. Pick up materials from the
headquarters shed (vests, flags, flashlights) and proceed to the road
site between C and D parking lots. Check that there are sufficient
parking cones to block off access to “non-parking” areas; that saw-horses have
been placed in D lot to direct traffic into planned parking; and signs have
been placed by the Rangers to identify the drop-off point.
5. Work with
the Rangers to ensure we have people in the B lot to direct traffic into that
area, and then apportion people to cover B lot, roadway, C and D lots,
etc.

Site Captain B will relieve Site Captain A at
11:15 AM, and will work from 11:15 until all need for controlled parking is
done. He will continue to assign people to the right places as needed.
At around 12:00 he will communicate with the Regatta management at
Headquarters, to arrange for lunches. Additionally, at the end of the
day:
1. Coordinate with Park Rangers to return the Gator to the parking
shack.
2. Return all accountable radios to the Park Rangers.
3. Turn in all other materials (vests, etc.).
4. Coordinate with Regatta Staff (Donna for HS regattas) for payment for
our services (Get the check or cash).

We usually can determine that no further
parkers are required well before the end of the regatta, when people leaving
outnumber any arrivals and there are plenty of empty spots showing up
throughout the park. When Site Captain determines parking is no longer
needed, he should advise the Regatta Management that it is time to close down
any collections, and to release the parkers. When this is done, he is
responsible for returning materials to the Regatta Headquarters (vests, flags,
flashlights, radios), and will also bring back the icebox for return to the
Worthy Warden.
The
“on duty” site captain is responsible for monitoring the status at the various
lots, moving parkers as necessary, from lot to lot, or to road stations, to
ensure smooth flow of vehicles. He is also the link to the Park Rangers, who
will probably be managing the bus and trailer areas, and other activities as
appropriate.
The site captain should insure that all
volunteers are aware of specific guidance or Park rules, such as keeping
people off the roads as much as possible, and forbidding pets inside the park on
regatta days. We do not enforce these rules, but we keep the spectators advised
of them, and also advise the rangers when they need to exercise police control.
